WAFDA Seeks Events Officer
WA Ultimate are currently looking for an Events Officer to assist with key WA Ultimate sanctioned events. We are looking for a person that is well organised and a good communicator.
Some key responsibilities of the Events Officer include: advertising for and appointing Tournament Hosts, planning an annual events calendar, promoting the events and booking locations for the events.
The Events Officer will be responsible for the coordination of Phoenix Has Risen, Western Regional's, Witch's Hat, State Indoor Championships, Beach Ultimate Championships and the WAFDA Annual Awards.
Position Description - Events Officer
Responsible To
The Events Officer role exists primarily to assist WA Ultimate to plan and run successful events. The Events Officer is directly responsible to the Executive Committee and the members of WA Ultimate.
The Events Officer is responsible for the portfolio of official WAFDA sanctioned events. These events include:
- State Indoor Championships
- Witch’s Hat (WA Hat Tournament)
- Beach Ultimate Championships
- WA Ultimate Annual Awards
- Phoenix Has Risen
- Western Regionals
Tasks
The Events Officer should:
- Liaise with the Executive Committee to develop an annual calendar of events
- Be the point of contact for all WAFDA sanctioned events along with the Tournament host
- Produce monthly updates for the WAFDA Committee, providing updates on upcoming events
- Produce an annual report in relation to the role of Events Coordinator
- Be responsible for the management of all WAFDA sanctioned events
- Advertise and call for Expression of Interest in regards to hosting relevant events
- Appoint Tournament Host as per Event Hosting Policy
- Promote the event via Facebook, the WA Ultimate website, emailing clubs and speaking to players
- Access and book locations for the events
- Provide WAFDA resources for the events
- Provide pre-event checklist for Tournament Hosts for each event
- Provide event formats including: game length, roster size, field size, rules accreditation requirements, tournament fees and catering (if any). Formats for each event should be consistent and relevant for a specific target audience
- Compile post event evaluation report based on participation feedback survey after each event

Essential Skills

Desirable Criteria
- Previous experience as an administrator at either the national, state or local level
- Good working knowledge of the WAFDA, including rules, policies and the duties of all office holders and committees
- Previous experience organizing a key event (sporting or otherwise)
Support from WA Ultimate Employees and WAFDA Executive Committee
The WAFDA Treasurer will provide support in regards to the event budget and accessing these funds. WA Ultimate employees will also be available to help with guidance and support for field booking, equipment use, administration and promotion.
Appointment Terms and Time Commitment
- The Events Officer will be appointed by the WAFDA Board for a term of 12 months
- The estimated time commitment required as the Events Officer of WAFDA is 2 hours per week, however, this will fluctuate depending on the timing of key events
- In addition the Events Officer will also be required to attend:
- Monthly committee meetings (approximately 2 hours)
- The WAFDA Annual General Meeting (approximately 1 hour)
